How we handle the personal data you share when you request a camera or lens repair, in line with the EU General Data Protection Regulation (GDPR).

What data we collect

When you use our forms and our service, we collect:

  • Identity and contact data: first name, last name, email address, phone number.
  • Return address: street and number, city, province/state, postal code, country.
  • Equipment and repair data: camera or lens model, serial number, accessories and your description of the fault.
  • Correspondence: the messages you exchange with us about your repair.
  • Technical logs: data automatically recorded by our hosting for security and operation (such as IP address, timestamps and basic request information).

Why we use it, and on what legal basis

  • To handle your request and carry out the repair — including diagnosis, the written quote, the repair itself and return shipping. Legal basis: performance of the contract and pre-contractual measures taken at your request (Art. 6(1)(b) GDPR).
  • To contact you about your repair (assessment, quote, shipping instructions, status). Legal basis: performance of the contract / pre-contractual measures (Art. 6(1)(b) GDPR).
  • To meet legal obligations, in particular tax, accounting and invoicing duties. Legal basis: compliance with a legal obligation (Art. 6(1)(c) GDPR).
  • To keep our service and website secure and to prevent fraud and abuse. Legal basis: our legitimate interest in security and fraud prevention (Art. 6(1)(f) GDPR).
  • To send you occasional news and technical updates — only if you tick the optional marketing box on our forms. This is entirely voluntary and is never required to request or receive a repair. Legal basis: your consent (Art. 6(1)(a) GDPR), which you can withdraw at any time — using the unsubscribe link in any email or by writing to us — without affecting the repair service or any processing carried out before withdrawal.

Which data is required

The fields marked as required in our forms (such as name, contact details, return address, equipment and fault description) are necessary to assess your request, provide a quote and carry out the repair. Without them we cannot provide the service. Optional fields (for example the serial number or accessories) simply help us serve you better and can be left blank.

Who we share it with

We do not sell your data. We share it only with service providers who process it on our behalf, under a data processing agreement, and only as needed to run the service:

We may also disclose data to competent authorities where required by law.

Transfers outside the EU

Your data is processed within the European Union. Our hosting, email and repair-management providers process it in the EU, and no transfer of your personal data outside the EU is envisaged. Should this ever change, we will rely only on providers offering appropriate safeguards recognised under the GDPR (such as EU Standard Contractual Clauses) and update this notice.

How long we keep it

We keep your data only as long as necessary for the purposes above:

  • Repair records — 2 years from the completion of the repair.
  • Technical logs — 1 year.
  • Requests that do not result in a repair — deleted after 6 months.

Documents that we are legally required to keep for tax and accounting purposes (such as invoices) are retained for the longer periods required by law, regardless of the above.

Your rights

Under the GDPR you have the right to:

  • access your personal data and obtain a copy;
  • have inaccurate data rectified;
  • have your data erased, where the conditions apply;
  • restrict processing in certain cases;
  • data portability, where processing is based on the contract and carried out by automated means;
  • object to processing based on our legitimate interest.

To exercise any of these rights, email us at info@europeancamerarepair.com. We respond within the timeframe set by law. Note that some obligations (such as keeping tax records) may prevent immediate erasure of certain data.

Right to lodge a complaint

If you believe your data is not being handled correctly, you may lodge a complaint with the Italian data protection authority, the Garante per la protezione dei dati personali (garanteprivacy.it), or with the supervisory authority of your EU country of residence.

Cookies and tracking

This website does not use third-party profiling or advertising cookies, and at present it uses no third-party analytics. We only use the technical cookies or local storage strictly necessary for the site and forms to work, where applicable. No consent banner is required for strictly technical cookies.

Security

We apply appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access — including access controls, encrypted connections (HTTPS) for our website and forms, and processing through reputable providers bound by data processing agreements.
